Alternative Format - Braille and Digitally Accessible Materials

Ensure required textbooks, readings, and course materials are available in Braille or other accessible formats when requested. Work with the Assistive Technology Lab at OAS to obtain or convert materials as needed. Provide materials early enough to allow time for conversion. Confirm with the student that they can access the format provided.


Alternative Format - Digital/Computer-based

Students approved for a digital/computer-based format must be able to complete assessments in an accessible electronic format during proctored exams. Provide textbooks, readings, and other course materials in digitally accessible formats that work with screen readers and assistive software, such as Word, PDF with tags, or HTML. Alternative Formats

Some students may need course materials in alternative formats such as large print, digital text, or audio. Ensure all assigned readings and course materials are accessible. Alternative Formats - Paper-based

Provide paper copies of digital course materials when requested, ensuring that the content matches the digital version. Upload files in printable formats such as PDF and notify the student in advance. Contact the Assistive Technology Lab at OAS for assistance if needed. Provide materials before the class session when possible.


American Sign Language (ASL) Virtual Interpreter

If a student requires a virtual ASL interpreter for synchronous classes, coordinate with OAS to ensure access. The interpreter must be visible in the Zoom or Teams meeting for the student to follow along. Make sure your video settings allow the interpreter and student to remain visible at the same time. Breaks

Students approved for breaks must be allowed to pause during proctored exams without penalty, consistent with OAS guidance. CART Services

Provide real-time captioning for synchronous lectures through CART services arranged by OAS. Ensure the CART provider has access to Zoom or Teams links in advance. Keep your camera and microphone on to ensure clear transmission. Provide slides and materials to the CART provider before class if possible. Contact OAS if you encounter issues.


Clarification of Expectations and Instructions

Clearly state assignment directions and expectations in Canvas. Use Canvas announcements, detailed assignment descriptions, or short Kaltura videos for explanation. Provide written clarifications to support any verbal instructions. Check with students to ensure understanding.


Closed Captions (100% Accurate)

All course videos, regardless of the maker or provider, must include captions that fully match spoken content. Review and edit auto-generated captions for accuracy, especially for names or technical terms. Use Kaltura for caption editing or contact Brittany Endress at the Office of Digital Learning if professional captioning is needed. Ensure captioning is complete before assigning videos. Provide accessible versions of all video content.


Digital Communication

Use email, Canvas messaging, or other digital platforms for communication instead of phone calls. Provide instructions and clarifications in writing. Ensure all course announcements are posted in Canvas. Allow students to respond digitally. Confirm students have access to digital communication tools.


Earplugs/Noise-Canceling Headphones/Ear Buds

Students approved for noise reduction may use earplugs or noise-canceling devices during proctored exams. In synchronous sessions, keep your face visible to the camera while speaking. Do not turn away when giving instructions. Maintain clear lighting so facial expressions are visible. This supports students who rely on lip reading. Be consistent throughout all sessions.


Feedback (Private)

Provide performance feedback privately rather than in front of the class. Use Canvas comments or direct messages for corrections. Avoid public callouts during synchronous sessions. Ensure communication remains supportive. Maintain student confidentiality at all times.


Flexible Attendance with the Ability to Make Up Work
